The Village of Vicksburg is seeking a highly organized, detail-oriented, and customer-focused professional to serve as its next Village Clerk. This position is responsible for maintaining official Village records, supporting the Village Council and other governmental boards and commissions, and ensuring compliance with state and local laws. The ideal candidate will possess excellent communication, organizational, and administrative skills and demonstrate a commitment to public service.

Essential Duties and Responsibilities

Responsibilities include, but are not limited to:

  • Serve as the Village’s designated Freedom of Information Act (FOIA) Coordinator.
  • Prepare agendas, packets, and supporting materials for Village Council and other governmental meetings.
  • Attend Village Council meetings and other assigned governmental meetings; accurately record and prepare official meeting minutes.
  • Post meeting notices, agendas, and minutes in accordance with the Michigan Open Meetings Act.
  • Maintain and preserve all official Village records and oversee records retention in compliance with state requirements.
  • Process and maintain accounts payable, including invoice review, payment processing, and recordkeeping.
  • Prepare and issue quarterly utility billing statements and assist residents with utility billing inquiries.
  • Maintain ordinances, resolutions, contracts, and other official Village documents.
  • Prepare correspondence, reports, and public notices as needed.
  • Provide exceptional customer service by assisting residents, businesses, and visitors in person, by phone, and electronically.
  • Assist the Village Manager, Village Council, and other departments with administrative projects and special assignments.
  • Ensure compliance with applicable federal, state, and local laws, policies, and procedures.
  • Perform other duties as assigned in support of Village operations.

Preferred Qualifications

  • High school diploma required; associate’s or bachelor’s degree in public administration, business administration, accounting, or a related field preferred.
  • Previous municipal government experience is preferred.
  • Knowledge of Michigan municipal law, the Open Meetings Act, Freedom of Information Act, and records management is highly desirable.
  • Experience with accounts payable, utility billing, and office administration.
  • Strong computer skills, including Microsoft Office applications and municipal software.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities while maintaining accuracy and confidentiality.
